ShowGrounds, LLC ("ShowGrounds," "we," "us," or "our") operates the ShowGroundsLive platform and the equestrian show management, entry, scoring, video and livestream services offered through it (collectively, the "Services").

This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to everyone who uses the Services — exhibitors, riders, trainers, owners, parents and guardians, show management company staff, and visitors to our websites.

Your use of the Services is also governed by the agreement that applies to you. See Section 10.


1. Information We Collect

A. Information You Provide

  • Account Information: Name, email address, phone number, mailing address, billing information, date of birth where required, and login credentials when you create an account or register for services.
  • Payment Data: Credit and debit card details, which are captured and stored by our PCI-compliant third-party payment processors. We do not store full card numbers on our own systems.
  • Customer Support: Records of your interactions when you contact our support team, including the content of emails, tickets and chat messages.
  • Guardian Information: Where a parent or legal guardian is designated for a minor, the guardian's name, contact details, relationship to the minor, and the date, time and record of their attestation.

B. Automatically Collected Information

  • Device and Usage Data: IP address, browser type, operating system, device identifiers, referring pages, and usage statistics.
  • Cookies and Tracking Technologies: We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are used. See Section 12.

C. Event and Competition Information

  • Participation Data: Rider names, horse names, trainer and owner affiliations, entry and registration details, class and division entries, scores, results and rankings.
  • Video and Livestream Content: Video and audio recordings of riders and horses at events, which may be publicly viewable, archived, and offered for purchase.

Competition results and related data are, by the nature of equestrian sport, published records. They may be displayed publicly, shared with show management companies, and shared with governing bodies such as USEF, EC and FEI.


2. How We Use Your Information

We use personal information to:

  • Provide and manage access to the Services;
  • Process show entries, scheduling, scoring, results and standings;
  • Process payments and platform fees, and deliver purchased video clips and livestreams;
  • Communicate with you about your account, entries, billing and support requests;
  • Verify guardian consent where a participant is a minor;
  • Maintain the security and integrity of the Services and investigate misuse;
  • Improve the functionality and performance of the Services;
  • Send marketing communications about features, services or promotions, which you may opt out of at any time; and
  • Comply with legal, tax and regulatory obligations and enforce our agreements.

3. How We Share Your Information

We share personal information in the following circumstances:

  • With Show Management Companies: To manage entries, scheduling, scoring, results and billing for the events you participate in.
  • With Governing Bodies and Federations: Competition results and related participant data, where required for competition recognition, ratings, points and standings.
  • With Service Providers: Payment processors, hosting and content delivery providers, communications and customer support tools, and analytics providers. These parties may only use the information to perform services for us.
  • For Legal Reasons: Where required to comply with law or legal process, to respond to lawful requests from public authorities, or to establish, exercise or defend legal claims.
  • In a Business Transfer: In connection with a merger, acquisition, financing or sale of assets, subject to this Policy continuing to apply to the transferred information.
  • With Your Direction or Consent: Where you choose to make your profile or results public, purchase or share video content, or otherwise authorize disclosure.

We do not sell your personal information for money. Some state privacy laws define "sale" and "sharing" broadly enough to include the use of certain analytics and advertising cookies. To the extent any of our cookie or analytics activity meets those definitions, you may opt out using the methods described in Sections 5 and 12.


4. Video, Livestream and Competition Content

We capture, stream and archive video of equestrian events for competition management, officiating, and viewer access. Video of your rides may be publicly viewable, archived, and offered for sale as clips or subscriptions.

Consent to this is recorded in the agreement you accept when you use the Services:

  • Exhibitors and riders accept the ShowGroundsLive Terms of Service at entry and at purchase.
  • Purchasers and subscribers of video products accept the ShowGroundsLive Rider Video Services Master Terms of Service.
  • Minors participate on the consent of a parent or legal guardian, recorded through the Parent/Guardian Attestation.

Your controls. Eligible users may use our Video Privacy Service to hide video clips from public view. Eligibility and availability are described in the Rider Video Services Terms of Service. If you believe video of you has been published in error, contact us using the details in Section 13 and we will review it.


5. Your Privacy Rights and Choices

We extend the following rights to all users of the Services, regardless of where you live:

  • Access: Obtain a copy of the personal information we hold about you.
  • Correction: Correct personal information that is inaccurate or incomplete.
  • Deletion: Request deletion of your personal information, subject to the limits in Section 6.
  • Opt out of marketing: Unsubscribe from marketing email at any time using the link in the message or by contacting us.
  • Opt out of sale, sharing and targeted advertising: Where applicable, opt out of any activity that qualifies as a "sale" or "sharing" of personal information, or as targeted advertising, under state law.
  • Object or restrict: Object to or ask us to restrict certain processing.
  • Appeal: Appeal a decision if we decline your request.

To exercise any of these rights, contact us at the address in Section 13. We will verify your identity before acting on a request, and we will respond within the time required by applicable law and in any case within 45 days. We will not discriminate against you for exercising these rights.

Some information cannot be deleted on request. Competition results are part of the permanent record of the sport, and financial and tax records must be retained by law. See Section 6.

An authorized agent may submit a request on your behalf with written proof of authorization.


6. Data Retention

We retain personal information only as long as we need it, on the following basis:

Where you request deletion, we delete what we are not required to retain, and we tell you what we are keeping and why.


7. Data Security

We use technical and organizational measures appropriate to the sensitivity of the information to protect it from unauthorized access, alteration, disclosure or destruction. These include encryption in transit, access controls limiting staff access to what their role requires, and the use of PCI-compliant processors for payment data.

No system is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities as required by law.


8. Children's and Minors' Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without verifiable parental consent. If we learn that we have collected such information without consent, we will delete it.

Equestrian competition involves a large number of participants aged 13 to 17. For any user we know to be under 18:

  • We do not sell or share their personal information;
  • We do not use their personal information for targeted advertising; and
  • A parent or legal guardian must consent to their participation through the Parent/Guardian Attestation, which also covers waivers signed on the minor's behalf.

A parent or guardian may withdraw consent, request access to the minor's information, or request deletion of the minor's account by contacting us at the address in Section 13.


9. International Users

The Services are operated from the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those of your country. By using the Services, you consent to this transfer and processing.


10. Relationship to Our Other Agreements

This Privacy Policy describes our data practices. It sits alongside the agreement that governs your use of the Services:

If there is a conflict between this Policy and a signed agreement on the handling of personal information, the signed agreement controls for the parties to it. This Policy continues to apply to everything the signed agreement does not address.


11. Changes to This Privacy Policy

We may update this Privacy Policy. When we do, we will post the updated Policy on our website and change the Last Updated date above. If the change materially affects how we handle your personal information, we will give notice through the Services or by email before it takes effect.

Your continued use of the Services after an update takes effect means you accept the revised Policy.


12. Cookies and Tracking Choices

We use cookies and similar technologies to keep you signed in, remember your preferences, measure how the Services are used, and improve performance.

You can manage cookies through your browser settings. Blocking some cookies will affect how the Services work — in particular, cookies required to keep you signed in cannot be disabled without preventing you from using your account.

We honor Global Privacy Control (GPC) browser signals as an opt-out of any sale, sharing or targeted advertising, where applicable law requires us to.
