How does this change affect the entry process?

For entries that are added on the web the user will be identifying who will pay the Platform fee. On the last day of the show accumulated charges for a person will be invoiced and charged to their credit card. For entries put in by office staff the charges will be charged to the Responsible Party for the entry so long as that person has agreed to the Terms of Service and provided a payment method.

In cases where we are unable to charge the exhibitor directly the Platform Fee will automatically be added to each horse entry and collected at the time of entry.

Will there be any way for us to know who is going to be charged for the platform fee?

Yes when viewing an entry you will have a clear indication of which person and/or payment method is going to be used for the platform fee. If there is no default person to charge the fee to a fee will be added to the entry for payment with their entry fees. Fees collected in this way will be treated as a pass through and invoiced by ShowGrounds after the show.

When will the customers credit cards be charged?

ShowGrounds will be tracking the Platform fees during the course of the show. At the start of the last day of the show these fees will be invoiced to exhibitors and their card will be charged once to settle the invoice. A customer with multiple entries will have several fees on a single invoice and paid with a single credit card charge.

How will ShowGrounds track who to charge and who not to charge?

We will be running nightly automated audits of all entries to make adjustments to fees as needed. This would include handling any changes due to an entry becoming exempt or non-exempt.

Will customers be charged more than once?

The Platform Fee is charged once per horse entry. If they enter multiple horses, each entry has its own Platform Fee. Charges are grouped together and typically billed as a single combined payment each week to make statements simpler.

What if an exhibitor has questions about the Platform Fee?

Does this change any of our billing workflows?

For the most part the platform fee will not be on the exhibitors entry. In cases where we are unable to charge the exhibitor the Platform fee will be listed on those entries and collected by the show office when the entry is checked out.

Will the Platform Fee appear on the exhibitor’s invoice?

It will only appear on their entry statement if we were unable to charge the exhibitor directly. In these cases it will be clearly listed as a fee on the entry. For fees charged directly by ShowGround the exhibitor will find their invoices under their account within ShowGroundsLive.com

Is additional training required for show office staff?

No extensive training is needed, but we will offer a brief overview session to familiarize you with the small differences in reporting and to answer any questions.

Are there any exemptions?

The Platform Fee does not apply to entries scratched before the first show day begins. It also does not apply to FEI entries. FEI entries are those entries participating in FEI classes and subject to FEI billing rules. Entries that have no show fees (placeholder entries) will also not be charged a platform fee.

How will SGL be communicating about this change with exhibitors

We have a comprehensive plan to ensure exhibitors are educated to these changes to the best of our ability. Here are some bullet points of that plan

  • Register Users – We will be working to ensure that as many people as possible are registered for ShowGroundsLive.com as possible. Exhibitors that have shown in the last 2 years at your facility and do not have logins, will be invited to register as users.
  • Verify People and Logins – In order to ensure that people are uniquely identified we are implementing a verification process for people that are not currently verified. This will involve validating their membership in a major equestrian organization or through other means when they do not have a membership.
  • Onboard Users – Closer to the start of your shows we will be having users do an on-boarding process. We will send emails to begin this process and they complete the process when they login. The date of this will be specific for each show company. This process will explain the new terms of service, the platform fee and obtain a payment method for the platform fee.
